Why governance over supplier decisions is becoming critical for finance leaders

Why Supplier Governance is becoming critical for CFOs

The technology stack supporting the Office of the CFO has evolved significantly. ERP systems record transactions, planning platforms forecast performance and reporting tools help finance teams explain results to boards and investors. Together, these systems have strengthened financial visibility and positioned finance as a more strategic function inside a business.

Yet a structural gap remains. Most finance systems provide strong visibility into financial outcomes but offer limited oversight of the commercial decisions that create those financial commitments in the first place. As companies scale, this gap becomes more significant, increasing the risk that supplier choices and buying decisions occur without the level of control and confidence CFOs require.

Why Supplier Decisions Matter to the CFO

Every business depends on a network of suppliers to deliver technology, services and operational capability. As companies scale, that network expands across departments, contracts and commercial relationships. Each supplier decision creates financial commitments that directly influence operating cost structure, margin resilience and long term liabilities.

For CFOs, these decisions also introduce financial, compliance and operational risk that may not be visible in standard financial reporting. As highlighted by McKinsey, organisations are increasingly recognising procurement as the connector between internal stakeholders and the external supplier ecosystem, particularly as businesses seek stronger governance and resilience across their supply networks.

Reference: McKinsey — A new CPO playbook: balancing resilience, innovation and value creation

The Governance Gap in the CFO Tech Stack

Finance platforms typically sit downstream of commercial activity, recording invoices, payments and contractual obligations after agreements have already been negotiated and signed. In practice, this means many of the most important supplier decisions occur outside the structured oversight of the finance technology stack.

A procurement framework, often referred to as source-to-contract, helps close this gap by structuring how organisations onboard suppliers, run sourcing processes, negotiate commercial terms and establish contracts before spending begins. When these activities are governed and connected to financial oversight, CFOs gain clearer visibility into how supplier decisions translate into financial commitments, particularly as businesses grow, adopt new technologies or expand into new markets.

The Link Between Supplier Governance and Risk

Supplier ecosystems introduce risks that extend well beyond cost management. Financial exposure, operational disruption, regulatory compliance and reputational damage can all originate from supplier relationships. Research on supply chain risk management shows how weaknesses in supplier networks can create costly disruption and financial instability across industries.

Risk also extends beyond direct supplier relationships. Many businesses lack visibility beyond their first tier of suppliers, leaving them exposed to hidden dependencies and geopolitical or operational risks deeper in the supply chain. For CFOs responsible for maintaining stability during periods of growth, the ability to monitor supplier commitments and associated risks becomes a strategic governance capability rather than an operational detail.

Reference: Achilles — Supply Chain Risk Hotspots to Watch in 2025 and Beyond

Connecting Procurement Governance to Financial Outcomes

Many businesses are beginning to recognise a simple relationship between supplier governance and financial performance. When companies grow, supplier activity inevitably increases. More suppliers are engaged, contracts expand and commercial commitments multiply across the organisation.

If those commitments are poorly governed, margin variability, hidden contract liabilities, renewal exposure and reduced transparency during investor diligence often follow. However, when procurement governance is structured and connected to finance oversight, businesses gain greater control over how supplier activity affects financial performance.

A useful way to think about the relationship between supplier governance and financial performance is a simple progression:

By managing supplier commitments early in the commercial lifecycle, businesses reduce operational risk while protecting financial performance.

Why CFOs Are Paying More Attention

The role of the CFO has evolved significantly. Finance leaders today are expected to do more than report results. They are increasingly responsible for ensuring that operational decisions across the business support sustainable growth and long-term value creation.

This shift has led to greater collaboration between finance and procurement teams. KPMG has highlighted that aligning these functions can improve spend management, reduce financial risk and strengthen supplier relationships across the organisation.

Research and analysis from Spend Matters also points to the growing importance of procurement data and supplier risk monitoring for maintaining financial stability and supporting broader strategic goals within the enterprise.

These developments suggest that supplier governance is gradually becoming a strategic capability within the finance function.

A Framework for Managing Supplier Governance

Leading businesses are beginning to adopt structured frameworks that connect supplier decisions more directly with financial oversight. While models vary, they often follow a similar sequence: financial visibility, opportunity identification, procurement execution, and governance and oversight.

This type of framework helps organisations maintain control over supplier commitments while allowing operational teams to move quickly.

The Evolving CFO Technology Stack

The modern CFO technology stack is expanding beyond traditional finance systems. As companies grow and supplier ecosystems become more complex, finance leaders increasingly require tools that connect operational decisions with financial oversight.

The goal is not simply to automate procurement processes but to ensure that the commercial commitments made across the organisation remain visible, governed and aligned with financial strategy. When supplier governance is integrated into the broader finance environment, businesses gain the ability to scale with greater confidence.

Final Thought

Growth brings opportunity but it also introduces complexity. As supplier ecosystems expand, the commercial decisions made across a business begin to shape financial outcomes in ways that traditional finance systems alone cannot always capture.

For CFOs focused on sustainable growth, the question is no longer whether supplier governance matters. The more important question is whether the organisation has the systems and frameworks necessary to manage supplier decisions before they become financial commitments.

Increasingly, supplier governance is becoming a core layer of the modern CFO technology stack.

For small and mid-sized businesses, buying a procurement platform is no longer just a technology decision. It’s also a strategic one, giving procurement teams the insights they need to help the Office of the CFO to make better decisions, and save money.

However, as with any software purchase, the investment needs to be justified financially. There needs to be a clear return on investment (ROI) that shows exactly what improvements to ‘efficiency’ and ‘visibility’ mean in monetary terms.

Not only that, but how long it takes to realise the ROI is just as important. Teams should see their calculations come good within months, not years.

ROI can be a powerful part of the procurement software comparison and short listing process too. It gives procurement leaders the data they need to make assessments based on the defined outcomes and values, rather than features and vendor claims alone.

This can be hugely valuable if you are weighing up the pros and cons of investing in a full procurement platform vs a Source to Contract platform. The former will inevitably take far longer to deliver a return on investment as the implementation alone will take considerably more time.

If you are looking for a solution that will have a rapid impact you should look at procurement and source to contract software platforms that are intuitive to use, have a rapid onboarding process and are scalable. With a tiered solution, you’ll only need to learn how to use the features you’ll be using when you get started rather than having to learn a full platform when much of the functionality will only become useful once your business has grown.

Introducing the BuyingStation Source to Contract ROI Calculator

The BuyingStation ROI calculator is built to help procurement teams gather the proof points they need and take their evaluation beyond high-level benefits so they can quantify savings.

How does the BuyingStation ROI calculator work?

The calculator focuses on three specific areas that deliver financial savings. These are reducing spend leakage, savings that can be made during contract renewals and the ‘sourcing uplift’ that can come from better negotiations and competitive bids to secure the best price.

Let’s start with reducing spend leakage

Spend leakage describes the money that is lost when purchases happen outside approved contracts or suppliers. Even well-run procurement teams typically see 5–10% leakage across addressable spend.

In terms of building an ROI, the BuyingStation Source to Contract ROI calculator estimates how much leaked spend could be reclaimed and assigns a monetary value to it.

Next is contract renewals and avoiding the risk of auto-renewals

Missed or poorly managed renewals often lead to auto-renewals at unfavourable rates, lost renegotiation opportunities, and the extension of non-performing contracts.

However, if you can clearly see what’s coming up for renewal, you can offset these risks. Our ROI calculator factors in savings from improved contract visibility and the impact more timely renewals can have on the bottom line.

Finally, sourcing uplift.

When sourcing activity is digitally managed, and supplier engagement is tracked, procurement teams can deliver improvements to pricing, supplier management, and governance.

That’s why the ROI calculator captures the incremental gains that can be made across a year.

What does it look like in reality?

To arrive at a pragmatic set of savings that can be used to make decisions, the ROI calculator takes the number of suppliers into account and considers how consistently and to what standard you currently follow compliance. A sliding bar will let you choose supplier totals and select where you stand on the compliance scale.

The calculator also looks at the impact team maturity will have on the outcomes you can achieve. If your team is relatively immature in its procurement practices and has loose structures in place for managing contracts, then the potential savings will be materially different to those teams with more proactive processes and data-led behaviours.

These three factors are then assessed against the company’s addressable spend (note it’s addressable not total spend).

It will also provide an overall indicative annual saving and ROI against a BuyingStation platform subscription.

Every company is individual, so the variance in range is based on the typical average across a variety of different industries.

If you’d like us to calculate a tailored return on investment aligned to typical savings for your industry, please get in touch here.

From ROI calculation to business case confidence

Selecting a source to contract procurement platform needs to be a strategic decision, so it’s important to have a complete picture including evaluation of the time savings, the financial impact and the strategic value procurement software will deliver.

The BuyingStation ROI calculator gives teams the information they need to have robust financial conversations with stakeholders and present a coherent business case. It moves discussions far beyond features to one where there’s genuine emphasis on the value that can be delivered.

If you’re weighing up procurement software options and want to understand what “good” looks like in financial terms, then try the BuyingStation ROI calculator today.

Procurement software will come of age in 2026 thanks to new entrants bringing platforms to market that take advantage of advancements in technology and AI. Analysts are advocates for embracing procurement technology, seen as a way for businesses to reduce risk and ensure compliance through improved management of suppliers and contracts. With this comes increased visibility of spend data helping procurement leaders to establish areas in the business that can benefit from consolidation and savings.

The procurement technology market is changing

Small procurement teams are often overstretched trying to manage suppliers and contracts, risk and compliance, purely on spreadsheets and shared inboxes. Why? Because there is a perception that procurement technology is only for big companies. This is fueled by features a small team doesn’t need, hefty implementation and a price tag smaller businesses simply can’t afford.

This perception has been created by a market dominated by large enterprise solutions where one size really doesn’t fit all. There has been a real shortage of point solutions that provide scaling pricing designed to support a growing business. Until now.

There’s never been a better time to automate

Step back and look at your procurement team. Is it still managing suppliers, contracts, quotes, and company spending on spreadsheets and shared drives? No doubt, it’s a painful and protracted process keeping on top of renewals and contracts. Endless manual updates, version control issues, missed renewals, and hidden spend are the daily headaches that come with spreadsheet-based procurement.

Against a backdrop of transformative tech coming into the market, economic uncertainty and rising costs, now is a good time to review how ‘you’ve always done things’ and look at the way in which affordable procurement tech could help change your company’s growth trajectory.

But how do you choose the right one for a small organisation without over-buying features you’ll never use?

Do I need Procurement Software or Source to Contract Software?

Procurement software is a digital platform designed to automate and centralise a company’s entire end-to-end purchasing process from sourcing suppliers and issuing requests for quotes, through to contracting, processing invoices and making payments. It’s heralded as the way forward because it gives procurement teams, and their counterparts in finance and operations, visibility and control of spend, and supplier relationships and status.

But procurement software is BIG. It covers all eventualities in procurement and supply chain management, typically designed for enterprise environments, rather than scaling companies. For many SMEs, the breadth of functionality is superfluous to requirements. And procurement software at this level isn’t straight forward to use, for procurement teams or their suppliers.

Enter ‘source to contract ‘software, sometimes known as S2C. It meets the needs of small procurement teams looking to reduce their reliance on spreadsheets and emails to manage suppliers and contracts.

Unlike full enterprise procurement software, a good S2C solution will have been specifically designed by procurement experts to manage sourcing, contracting and management. It should be quick to deploy (no long implementations) and typically delivers a rapid return on investment.

If you are facing any of these challenges, then S2C could be the ideal solution:

Lost or duplicated supplier records

Missed contract expiry and auto-renewal dates

Untracked spend and unclear savings

Slow, manual quote and tender processes

Today’s source to contract platforms take these pains away. They automate repetitive tasks like renewal reminders, workflows and approvals, centralise data and provide dashboards and insights on the pipeline, spend and savings. As a result, teams spend less time on admin and more time delivering strategic value.

Above all, software dedicated to mid-market sized companies, eliminates the patchwork of spreadsheets and silos that slow down procurement teams and increase risk. Automated tracking and reminders mean fewer missed deadlines, clearer audit trails and higher confidence in decision-making not just in procurement but across the business.

How do you Choose the Right Source to Contract Software?

Choosing the right S2C solution, involves balancing the team’s skill and strategic missions against the capability of the software, simplicity of use, and cost.

There are five areas of focus when drawing up a shortlist.

1. Look for “right-sized” functionality

As we’ve already seen, big enterprise solutions often bundle modules smaller teams and businesses will never use, yet they will charge for them anyway. It makes for a cumbersome user experience and a costly business case.

Small teams benefit most from using platforms that are designed for their specific needs with the essential features and nothing more included. Things like supplier management, contract storage, RFQ/tender workflows, spend dashboards and risk assessment tools should be on the shopping list.

BuyingStation’s source to contract solution, for example, offers all of these capabilities without adding unnecessary features and complexity to the user experience. It deliberately removes all the extra functionality 99% of small businesses don’t need and focuses on including all the features they do need!

Designed with growth in mind, BuyingStation offers tiered pricing allowing customers to increase their subscription to take advantage of additional features, when they are ready.

2. Ease of use is vital

Software that’s hard to use often fails to get adopted and certainly won’t be used to its full potential. Simple-to-navigate dashboards, intuitive workflows and easy to build report automations not only reduce training time but also boost long-term team adoption.

It’s also vital to ensure procurement teams can help better decision making across the business. It’s therefore worth considering how you can develop a strong business case for adopting S2C software by prioritising solutions that make it easier for everyone in the organisation to use, not just the specialists.

3. Automated workflows and notifications

Automation is core to saving time. Look for tools that automate reminders for contract renewals, reducing manual follow-ups and the risk of auto renewals. The time it frees up can be used to inform more strategic decisions and help the procurement teams identify opportunities to help the business improve profitability.

You may come across solutions that use AI. See this as a valuable attribute, not something to fear. AI will do time-consuming analysis, uncovering trends and options procurement teams may never have identified themselves.

4. Customisable without complexity

There’s nothing worse than finding your perfect source to contract solution only to find out it requires a full IT project to implement it and you have to change your processes to fit the way it works. ‘Plug and play’ and ‘configurable’ is what you need, and with the latest S2C solutions, this should come as standard.

Look for solutions that offer customisation of things like ‘fields’ so you can align categorisation with your business, custom onboarding questionnaires and configurable modules that fit your processes.

5. Scalability is key

Most importantly, choose a platform that will grow with you. Even if you’re a small team today, think about the strategic vision for the future. Tomorrow’s needs may include ESG tracking or expanded user access across the organisation. Your chosen solution should be able to scale accordingly and without a hefty price tag.

Excel isn’t enough anymore

Spreadsheets may still have their place in some functions, but procurement shouldn’t be run using them. Manual tracking, version control issues, and slow reporting aren’t just productivity drains, they reduce visibility and increase operating risk.

Source to contract procurement software brings clarity and control, letting you manage suppliers and spend on the things that matter, when they matter, with confidence.

For small organisations, the right platform is one that puts the tools you need right at your fingertips without forcing you to pay for functionality you’ll never use. Find that sweet spot and you’ll open the door to growth.

Mid‑sized businesses are under pressure from all directions. On one side, procurement complexity is increasing: more suppliers, more contracts, ESG compliance, more scrutiny from finance and the board.

Then there is the pressure of currency exchange rates, inflation, interest rates, wages, and economic uncertainty.

Whilst internally, budgets remain tight with all functions under scrutiny to do more with less without increasing risk.

Many procurement teams are simply not set up to manage these colliding forces, never mind position themselves as a strategic partner for the business.

The dependency on spreadsheets, emails and shared drives to source and manage suppliers and the associated contracts, is not a setup that thrives well under pressure and it’s certainly not fit to scale.

This mix of conflicts is leaving procurement teams exposed, with very few tools available to delve into the data and find patterns and trends that could unlock more cash for the business.

What can procurement leaders do?

They could do nothing. It’s always an option. But at some point, this approach will come unstuck.

They could look at enterprise-level procurement software. However, it’s become more apparent that it’s not suitable for scaling small to mid-sized companies. It’s bloated with features and functionality they don’t need, complex to use and comes with a high price tag that few can afford.

However, this challenge has brought about category innovation and new options for procurement leaders, namely ‘source to contract’ solutions. Unlike their enterprise-level counterparts, source-to-contract software or S2C, is designed to give SMEs exactly what they need for the job in hand. It is typically more affordable, and a good provider will also have tiered options, giving you the flexibility to scale to obtain greater features when you are ready.

In effect, source-to-contract software fills the gap between basic tools and heavyweight enterprise suites. It delivers structure, visibility and control without the cost, complexity or over‑engineering of enterprise procurement platforms. You can expect both operational and strategic benefits:

Work faster and with fewer errors

Have better insight for decision-making

Increase efficiency through better collaboration across functions and less manual spreadsheet work

Reduce the risk of contracts either auto-renewing or expiring when you do not want them to

Provide the insight for better commercial decisions and become an advisor to the Office of the CFO

Shift procurement from an admin function to a strategic one

Of course, selecting the right S2C software for your business is paramount to achieving these outcomes.

This guide outlines the choices leaders have and provides practical steps for the selection and adoption of S2C software.

It will walk you through evaluation of the feature set, the importance of trials, integration with process, people and technology and ultimately help you arrive at a decision that means you will buy the right source to contract software for your organisation as it operates today and intends to operate in the future.

It’s based on years of experience and insight from working with companies facing the exact same challenges and provides a model to follow irrespective of sector, ways of working, industry dynamics and skill sets.

The guide will help you to:

Get clarity on the problem you are solving

Develop an understanding of what source-to-contract includes

Build a requirements list that matches the outcomes you want to achieve

Identify and review source-to-contract software providers

Develop a short list and evaluate demos and trials

Start to think about building a business case that includes the value you will deliver as a function, not just the savings

Step 1. Ensure you have clarity about the problems you are solving

It might sound obvious but when you are bogged down in the nitty gritty, you can lose sight of your remit, critical deliverables and the value you want or need to offer the business.

You go through the motions, darting from one thing to another, often with no real method or process. You just do what you have got to do, to get it done!

Sound familiar? You are not alone. Many of our customers were working exactly in this way and would use words like ‘erratic’, ‘reactive’, ‘inefficient’, ‘stretched’, ‘on the back foot’ and ‘under pressure’ to describe their reality.

It’s a common gripe that they have never had time to sit back and consider what ‘good’ feels like and therefore had little appreciation of what ‘great’ could look like with dedicated supply to contract software and new ways of working.

So, take this as your cue to start as you mean to go on: step back and document your current reality.

It will be your anchor throughout the buying process, adoption and business case evaluation.

What is a good approach?

Your team is made up of experts in terms of the procurement world you work in, the way the company operates, and the strategic vision. Use their knowledge and insight to identify what needs to be addressed urgently.

Most mid‑market procurement teams experience a familiar set of challenges:

Supplier information is spread across spreadsheets and inboxes

Contracts are stored in multiple locations with no clear owner

Missed expiry dates and unwanted auto‑renewals

Limited visibility of pipeline, spend or savings

Slow, manual sourcing and RFQ processes

Inconsistent approval workflows

You will have more to add to this list that are specific to your operating model and industry, but know that it’s a good place to start.

Then think about the breadth of your operating model and what you have to manage day to day, week to week and so on.

How many active suppliers do we have today? How will that change?

Where are contracts stored, and who owns them?

How often do we discover renewals too late?

How long does a typical sourcing event take end‑to‑end?

Can we confidently report savings and commitments to the board?

Next, draw up a ‘what if’ list?

What if we set up automated reminders for renewal when we set up a contract? What would we save in time and money?

What if contracts were filed and managed electronically and stakeholders could see them? What would impact would it have on capacity?

What if we could use AI to get insights on where money was spent wisely and dubiously? What if we could use this to show the board the value we derive from cross-functional decision making?

Your answers to these questions and more will define what “success” looks like when you evaluate software.

We recommend team workshops to begin with, and then cross-functional workshops. This provides a 360-degree view and can increase your chances of success, because you will define a solution that is fit for purpose rather than one that operates as an island.

Step 2: Understand what source‑to‑contract is and what it means to your business

Source to contract encompasses all the activities that fall upstream of purchasing goods and payments, and sit alongside finance, logistics and operational planning.

It’s not enterprise resource planning (ERP) or invoicing and it’s important to understand this distinction. If you are reading this as a leader in a small to medium-sized business, then you will more than likely have an accounting and finance function and a team managing logistics and goods in and out. They will have their own solutions in place to manage these tasks.

S2C typically includes:

Supplier management, onboarding and compliance

Quotes, (RFQ) proposals (RFP) and tender management and workflow

Commercial comparisons and evaluation

Contract creation, storage and lifecycle management

Renewal tracking and alerts

Savings tracking and pipeline visibility

Where these tasks are automated and managed through regular reporting and analysis, small teams can have a big impact on the efficiency of their own function, but also the functions around them.

Let’s go back to the ‘what ifs’ you drew up. As we have already identified, it’s unlikely to have included invoicing or any form of supply chain planning.

However, when you start to search for a solution to satisfy your needs, you will come across enterprise solutions as well as S2C. They will both have the capability you are looking for. However, the biggest contrast between the two is that the enterprise solutions will have invoicing and ERP functionality as standard. It’s these kinds of features that make it expensive.

Not only because you pay for modules you never touch but because it usually requires a lengthy IT implementation project and complex licence agreements.

Complex solutions invariably demand a team of specialist users to be at the helm too. This means enterprise-grade software is not ideal for generalists or users whose roles sit outside the procurement function. Thinking about your team’s skill set is an important part of the evaluation process.

When you appreciate these differences, you can then start to see the amount of value your investment will bring. If you are using upwards of 80% of a S2C feature set then you are going to derive far better value than using 40% of an enterprise solution, as numerous companies find out when it’s too late to back out. Better still, look for solutions that offer tiered plans with increased features to support you as you scale.

Step 3: Move to identify what the ‘Right Size’ looks like for your business

Referring to your initial ideas, think about how you want to use the solution you buy. Use this as a baseline to discuss the feature set, the team’s skills and the gaps. Where can technology help you shorten processes, remove tedious and error-prone manual tasks and give you clarity for more constructive conversations with functional heads? These are the questions that can guide you to a solution that fits like a glove.

Your list might look like this, and for most SMEs it’s an excellent place to start:

A single supplier database, with no duplicates and complete data

Central contract repository with clear allocation of ownership and well-timed alerts

Simple, repeatable RFQ / sourcing workflows

Approval routing without email chains, that meets compliance

Dashboards for pipeline, renewals, spend and savings so there’s visibility of what’s coming and what to stop

Clear audit trails of the decisions you are making

A simple report builder

As you can see, this list is core to the functional remit of small procurement teams. It’s also the way to free time, resource and money and open the door to strategic insight.

What you don’t want or need is just as important

Be wary of solutions that have what you need but come with a support model that’s complex. For example, you won’t need complex modules “for future use”, and you need to watch out for the promise of core features you do need, only to find you need to pay to unlock them, or take a higher number of licences.

You certainly do not want to entertain the cost and time of heavy IT implementation just to get started. In the same way, if you need to make changes to a report or add a new one, make sure you can do this yourself and don’t have to go back to the provider.

BuyingStation, for example, is deliberately designed to support the source-to-contract requirements of small to mid‑sized procurement teams. Tiered plans allow customers to get started and then upgrade to access additional features when they are ready.

Step 4: Usability is key to selecting Source to Contract software

When you review different S2C software platforms, think about how each will fit into your team and business.

We recommend you score your shortlist against these seven things:

Ease of use – Think about how much training is involved, and whether someone outside of the team can get started and use it easily. If it’s intuitive, then it should rank highly.

Speed to value – How quickly can you get started, and how soon will you see results? This should be about days, not weeks or months.

Configurability – Can you add custom fields and run custom reports, or do you have to change your way of working to ‘fit’ the software? If it’s inflexible, then it should be scored down.

Visibility – What will you get visibility of, and is that what you need to improve? How are dashboards presented? Are reports easy to interpret? Is the data easy to find and understand? If it’s a yes to these, it’s a high-scoring solution.

AI – Does the platform have any AI capabilities to further increase efficiencies? Even if you are not using it today, it is worth looking for a supplier that has AI capabilities as you inevitably will need these at some point in the near future. Lack of AI capabilities should be scored down.

Commercial model – Are you only paying for the features you need? Is it the feature set reflective of the actual need today, with the option to expand when you need to without complex renegotiations? The higher the flexibility and price transparency the higher the score.

Security & continuity – How secure is the software? Does the software provider have a business continuity plan? Look for companies that have security baked in, a clear business continuity plan and independent assessments such as ISO certifications. Software companies without these should be scored down.

Step 5: Try it out, take a demo, do a free trial

Think of a demo as a way of getting visibility of all the features, the user interface and the ease of use. You’re looking for something that has a clean user interface and is logical and easy to use.

The next step is to sign up for a free trial. Some S2C software platforms offer sandboxes that you can have a play with. Others offer free trials with no commitment to sign up.

You might want to think about the scenarios you face day-to-day and see if you can set these up easily in the software. Running an RFQ. Reviewing contracts and setting up a renewal process. Reporting ease, such as identifying potential savings. If your baseline needs are met, it will give you confidence to explore further and really test the feature set.

Make sure your team is involved in this so you are sure their specific role can be supported. And, in line with your initial workshop, you can test the potential future solution against the world you operate in now and want to build in the future.

Encourage your team to get involved. Do they find the S2C platform intuitive? Can you see how you will get value quickly and without extensive training? How easily can information be shared with other departments, suppliers and between the team? Would there be a temptation to revert back to what you do now? That’s a big litmus test.

You have selected an S2C software solution. What’s next?

Once you’ve decided upon a solution, it’s time to build a business case.

Step 6: Building a business case

Source‑to‑contract software needs to derive value, which means you will need to build a case for investment.

Focus on:

Time saved on admin and chasing

Reduced risk from missed renewals

Improved negotiation outcomes

Clearer visibility of savings and commitments

Better governance and audit readiness

Stronger supplier relationships

Data‑led decision making

Better position to influence growth and cost control

Consider the costs associated with

Implementation effort

Training and adoption

Ongoing support

Flexibility as you grow

Mid‑market S2C platforms typically offer far better value than enterprise suites, because you are not funding unused functionality.

From Control to Influence

Source-to-contract software gives mid-sized businesses the opportunity to move procurement into a more strategic role within the organisation. It provides the clarity, structure and confidence needed to influence decisions rather than simply respond to them.

By choosing the right‑sized platform, SMEs can:

Increase efficiency

Reduce risk

Save money

Make better decisions

Elevate procurement’s place in the organisation

Making this shift requires technology, such as BuyingStation, that makes procurement easier to manage day to day without adding complexity.

BuyingStation was included in the 11 Best Source to Contract Software for Mid-Market 2026 report by Entrepreneurial Procurement, authored by James Meads. The report stated:

“BuyingStation is also one of the most transparent and competitively priced tools on the market and packs a lot into the platform for the price.”

Behind this recognition is a clear philosophy. BuyingStation was built by procurement professionals who understand the realities faced by small and mid-sized teams and the importance of keeping processes simple practical and fit for purpose.

ISO 27001 Information Security Management System

ISO 14001 Environmental Management System

ISO 9001 Quality Management System

Together, these certifications clearly position BuyingStation as a trusted technology partner, able to operate with enterprise-level maturity, governance and resilience.

How customers benefit

The certifications give customers a transparent view into BuyingStation’s methods of working. As a result, they can see what controls sit behind the service and have confidence that they have selected a secure, responsible and forward-thinking procurement platform provider.

Specifically, the ISO certifications provide BuyingStation’s customers with the confidence and ability to:

ensure safer handling of supplier and commercial data

provide reliable, consistent delivery built on audited processes

align with their ESG and security expectations

improve clarity and control over suppliers, contracts and spend

reduce workload and increase capacity for strategic work

Standards demonstrate BuyingStation’s credibility in the market

Acquiring all three certificates is a rare achievement. It not only demonstrates BuyingStation’s commitment to ensuring it holds the latest in internationally recognised standards but also underlines how serious the scaling procurement technology company is about living its values every day.

Kavita Cooper, CEO, explains what the certifications mean for the company and its customers:

“Very few procurement technology companies obtain all three major ISO standards. Many choose one. Few hold the complete set and maintain them year after year. We believe it’s this discipline to maintain and improve standards that sets us apart.”

“This ethos is a fundamental part of the fabric of our company and reflects our mission to level the field for smaller teams and build the future of procurement through clarity, trust, and responsible practice,” continues Cooper. “We know it will give our customers complete confidence in our platform as the foundations behind BuyingStation are proven and externally validated.”

The 2025 Autumn Budget sets a clear direction for the year ahead. It signals stability on the surface, yet beneath that stability sits a tougher environment for businesses, especially those in the mid market. This Budget places greater responsibility on organisations to manage cost, preserve margin and plan with discipline. In my view, this is a moment where strong procurement can be the difference between resilience and pressure.

A Budget shaped for caution, not stimulus

The Chancellor confirmed that Corporation Tax will remain capped at 25 per cent for the life of this Parliament. This brings certainty but does not release any new stimulus. At the same time, the overall tax take will rise through the continued freeze of many allowances and adjustments to reliefs.

Changes to pension tax reliefs and salary sacrifice arrangements will affect workforce planning. Businesses will need to revisit their employment cost models to understand both the financial impact and how benefits packages continue to support retention.

For organisations planning restructuring, asset sales or ownership changes, the tightening of disposal-related reliefs means more detailed financial modelling and a sharper understanding of the true value and cost of any transaction.

The wider implications for business leaders

Cash flow will come under closer scrutiny. Many mid-sized organisations are already feeling margin pressure. With a rising tax environment and limited headroom for growth, preserving liquidity becomes essential. The companies that succeed will be those that understand their spend at a granular level and act early.

Supplier decisions will matter more

When margins tighten, every contract becomes a strategic decision. Poorly negotiated agreements, hidden cost escalators and unchecked automatic renewals all chip away at profitability. The Budget does not change the cost of doing business, so internal discipline must.

Operational effectiveness comes into focus. Finance and operations teams will be expected to achieve more with the same resources. Efficiency is no longer a back-office goal. It is a route to stability.

A perspective from our CFO, Tracey Giblin Kelly

Tracey captures the shift many organisations are now facing:

“The Autumn Budget delivered by the Chancellor further increases challenges for businesses. Risk mitigation through a clear understanding of who you do business with and who is in your preferred supplier tiers is critical for business continuity and providing a foundation for growth.

The mid-size market is an ecosystem in its own right. Working with smaller businesses that are agile and capable of delivering quality supports success. Managing the procurement function with an affordable technology solution allows teams to identify and work with smaller businesses in an efficient and controlled way. Focusing on quality and flexibility to adapt to the changing business environment whilst managing risk results in a positive impact to margins and profitability.

It is no longer a case of ‘business as usual’; it is time to take action to adapt, create efficiencies and utilise talent in the right way so you retain that expertise in your business. Work with local businesses, support the mid-size market, and together we can level the field to grow and thrive through the challenging times ahead.”

A moment for disciplined leadership

This Budget does not carry dramatic headlines for business, but its impact will be felt quietly and consistently. The organisations that adapt early, build visibility and manage spend with intent will be the ones that create space for growth.

Procurement is no longer an administrative function. It is a strategic asset when used well. At BuyingStation, we stand ready to support leaders who want to navigate this environment with strength and clarity.

How BuyingStation supports businesses through this landscape

At BuyingStation, our mission has always been to give organisations clarity, control and confidence over their supply chain and spend. This Budget reinforces why that matters.

Here are a few ways BuyingStation can help:

Unlocking immediate cost reductions: Our Spend Analysis Health Check provides a rapid, targeted view of where money is leaking. Duplicate suppliers, outdated contracts and uncontrolled renewals often hide thousands in avoidable costs. We help businesses recover this value quickly and with minimal disruption.

Contract intelligence that protects margin: With our contract and supplier tools, organisations gain real visibility of risk, compliance gaps, renewal points and cost drivers. This removes surprises and prevents erosion of margin at a time when every pound counts.

Stronger forecasting and scenario planning: BuyingStation enables teams to anticipate supplier cost movements and model future spend. In a rising tax environment, this level of foresight supports confident decision-making.

Reliable support during restructuring or transaction events: When businesses are planning an acquisition, divestment or asset disposal, our procurement due diligence ensures the contract landscape is fully understood and aligned to the new tax environment.

I thought for this blog I would look ahead and see what’s in store for procurement in 2026. Procurement has never been more dynamic, crucial or more critical to business success. As we head into 2026, the function is and has been evolving from a more transactional cost control department into a more strategic player built on resilience, sustainability and innovation.

From the big talk of 2025 agentic AI through to ESG expectations, the next year will be a defining moment on how organisations source, spend and collaborate with suppliers. Here’s what I think we should expect and how to prepare.

From Cost Control to Value Creation

In 2026, procurement leaders will move beyond simply chasing the lowest price. Instead, the focus will be on total cost of ownership (TCO), supplier performance, risk mitigation and long-term value for their business.

Supply chain disruptions, inflationary pressure and sustainability mandates have shown that cheapest doesn’t always mean best. Smart organisations will look for resilient, innovative suppliers they can work with, often closer to home, to balance cost with agility and quality. This will lead and enable them to build strong supplier partnerships around innovation and resilience, not just pricing.

Digital Transformation Accelerates

By 2026, digital procurement will no longer be a future ambition (you just need to look at the themes of the 2025 conference season), it will be the standard.
AI, automation and predictive analytics are reshaping how teams source suppliers, manage contracts and monitor spend.

e-procurement platforms and cloud-based sourcing tools are enabling real-time visibility into supplier performance and risk. Tasks like invoice matching RFQs and contract reviews will increasingly be handled by intelligent automation. This shift frees procurement professionals to focus on strategy, relationships and value creation, steering clear of more manual processes and paperwork.

Use 2026 to focus on automating repetitive processes so you can focus on strategic decision-making opportunities.

Sustainability and ESG Take Centre Stage

Sustainability is not just a buzzword anymore whispered in corridors, it is becoming something more, a business imperative you might say.
In 2026, procurement functions will be judged on their environmental, social and governance (ESG) impact as much as on savings and efficiency.

In 2026, procurement teams can expect greater emphasis on reducing Scope 3 emissions, ensuring ethical labour practices across the supply chain, supporting local and diverse suppliers to enhance social value, and tracking end of life product impact to meet circular economy goals. Coupled with tightening UK and EU regulations and rising customer expectations, organisations that embed ESG performance criteria into every RFP and supplier contract will be best positioned to lead the way.

Data, Risk and Transparency Dominate

The supply chain landscape in 2026 will remain uncertain. From geopolitical instability to cyber threats, for example JLR and M&S, procurement leaders must embrace data-driven decision-making to stay ahead.

Digital dashboards will integrate spend analytics, supplier performance and risk alerts in one place. Predictive analytics will help teams identify weak spots before they cause disruption.

Transparency will also become a non-negotiable.Investors and customers want to see exactly where products come from and under what conditions they are made.

Now is the time to invest in supplier data tools that combine risk, compliance and performance data in a single view.

Skills and Culture Shift in Procurement Teams

As automation starts to take over more of the repetitive tasks, the human side of procurement will shine brighter than ever.

In 2026, procurement professionals will need to upskill and develop expertise beyond traditional sourcing, becoming more digitally literate and proficient in data analytics, strategic negotiation and sustainability to stay competitive in a rapidly evolving landscape.

The procurement function will evolve into a cross-functional business partner, collaborating with finance, operations and sustainability teams to create value rather than just cut costs.

Begin 2026 by upskilling your team in digital tools, data analysis and ESGs. Future-ready procurement is powered by people and supported by tech.

Regional and Local Sourcing on the Rise

The global shocks of recent years from COVID-19 to geopolitical disruptions (for example the war in Ukraine) have pushed organisations to rethink their sourcing models.

In 2026, many UK and European companies will pivot toward regional suppliers, reducing dependency on long and fragile international supply chains.

This doesn’t just build resilience; it also supports local economies and reduces carbon footprint. I knew a business that used to ship everything to its head office warehouse, only to re-distribute it back out.

Use 2026 to re-evaluate your supplier map and identify opportunities for near market sourcing.

Preparing for 2026: Your Procurement Roadmap

To thrive in 2026, organisations should start planning now. Below is a recommended to do list:

Audit your current processes: Identify inefficiencies, data silos and manual bottlenecks. Move away from spreadsheets for example.

Invest in digital infrastructure: Adopt an AI-enabled ProcureTech / procurement system for smarter decision-making.

Re-think supplier strategy: Prioritise resilience, innovation and sustainability over lowest price.

Embed ESGs in every step: Make sustainability a measurable part of your procurement KPIs.

Upskill your people: Equip your team with digital, analytical, and ethical procurement skills.

In Summary

2026 will be a transformative year for procurement.

Those who embrace digital innovation, build transparent and sustainable supplier ecosystems and elevate procurement to a strategic business driver will come out ahead.

The future of procurement extends far beyond traditional spend management, encompassing a broader vision centred on strategic value creation, enhanced resilience and a strong alignment with organisational purpose.

Introduction: When Growth Stalls, Procurement Becomes Strategic

As reports confirm that the UK economy recorded zero growth between July and September 2024 (see BBC: UK Economy Zero Growth), many organisations are asking the same question: how do we maintain efficiency and competitiveness when the market stands still?

One increasingly popular answer is Managed Procurement Services (MPS) — a strategic approach that combines procurement expertise with technology to deliver savings, improve control, and drive resilience. For many UK-based organisations, MPS represents not just a cost-saving tactic, but a route to long-term procurement transformation.

Understanding Managed Procurement Services

At its core, Managed Procurement Services involves partnering with or outsourcing some of your procurement functions to specialised third-party providers who use advanced Procurement Software and category expertise.

This model can take care of the time-consuming “busy work” — supplier onboarding, low-value purchases, or large volumes of contract renewals — allowing your internal team to focus on strategic priorities such as innovation, supplier development, or ESG initiatives.

“The combination of Procurement Practitioners (experts) and a Sourcing-to-Contract (S2C) platform to manage supplier selection, negotiation, and contract risk allows your team to focus on what really matters — core operations.”

The Benefits of Managed Procurement Services (MPS)

When budgets are tight and growth is flat, the business case for Managed Procurement Services UK is compelling. Here are six reasons why:

1. Cost Savings and Efficiency

MPS providers bring established supplier networks, category expertise, and efficient sourcing processes that secure goods and services at optimal prices. Streamlined workflows reduce overhead and administrative costs, freeing up funds for critical investments — a vital advantage in a stagnant economy.

2. Access to Expertise

Working with a Managed Procurement partner gives you access to experienced procurement specialists with market insight and advanced tools. These experts can identify opportunities your internal team may overlook, supporting data-driven decision-making and strategic sourcing.

3. Risk Management

Effective procurement outsourcing reduces supplier risk through robust governance, compliance monitoring, and proactive contract management (no more costly auto-renewals). For organisations managing hundreds of suppliers and contracts, this risk mitigation can be a significant safeguard.

4. Scalability

An MPS model is inherently flexible — you can scale activity up or down in line with business needs, making it ideal for navigating uncertain economic cycles.

5. Enhanced Transparency

Modern procurement outsourcing includes powerful analytics that offer visibility into spend, supplier performance, and contractual obligations — promoting accountability and smarter forecasting.

6. Speed of Implementation

Unlike building or expanding an internal team, MPS partners can deliver immediate impact. With experienced professionals and tools ready to deploy, you’ll see results faster — and often achieve ROI sooner than hiring internally.

Implementing Managed Procurement Effectively

To maximise the benefits of Managed Procurement Services UK, it’s crucial to select a provider that aligns with your organisation’s size, industry, and objectives.

Look for:

Proven sector experience and client success stories

Advanced Procurement Software and automation capabilities

Transparent pricing and ethical practices

A collaborative approach focused on outcomes, not just savings

The Role of Sourcing-to-Contract (S2C) Software

“You wouldn’t run finance without accounting software — so why run procurement on spreadsheets and emails?” – Anonymous CFO

Procurement technology is now non-negotiable. The scale and complexity of managing hundreds or even thousands of suppliers make manual systems unsustainable.

Leaders such as James Meads (creator of the Mid-Market Procurement Tech Map) highlight how the right software can transform procurement from an administrative function into a strategic one.

Key Benefits of the Right S2C Procurement Software

1. Reduced Cost

A good S2C SaaS platform can dramatically lower operational costs — from sourcing to contract management — often for less than £20 per day.

2. Centralised Contract Management

Never lose another contract or fall victim to an auto-renewal. Having all agreements in one secure, searchable platform provides clarity and control.

3. Risk Mitigation and Compliance

Integrated systems help you meet ISO standards, Cyber Essentials, and other regulatory requirements by managing supplier data and contracts securely.

4. Time Savings

Apply Pareto’s Law — focus your team’s effort on the top 20% of suppliers delivering 80% of your value, while software automates the rest.

5. Stakeholder Confidence

A professional S2C platform supports transparency across departments, reassuring finance leaders, budget holders, and auditors that your procurement process is efficient, compliant, and aligned with strategic goals.

Action Plan for Procurement and Finance Leaders

Here are practical next steps to strengthen your procurement function in 2025:

Review ROI from Managed Procurement Services — typically 2–3x higher than expanding your internal team.

Assess the market for MPS partners — avoid “gainshare” models that incentivise unnecessary spend.

Investigate S2C platforms — prioritise solutions that are easy to implement, fairly priced, and usable by both procurement and non-procurement professionals.

Engage with experts — whether you need transformation support or tactical contract management, external specialists can deliver rapid results.

By Kavita Cooper, Managing Director at BuyingStation

This year, we’re proud to have launched our new Lunch and Learn series — short, insightful sessions designed to help procurement and IT professionals share expertise, exchange ideas, and learn practical strategies over lunch.

Each session brings together thought leaders from across procurement, technology, and supplier management to explore how the world of buying and contract management is changing. Listeners can tune in live or catch up later, with key takeaways shared after each discussion.

A Focus on Contract Management

Our first guest speaker was Harinder Bansal, Head of Procurement at Motability Operations Ltd, who joined us to discuss “Practical Ways to Manage Your IT Contracts in 2025.”

While contract management may not sound like the most glamorous of topics, Harinder proved it’s one of the most vital. His insights were relatable, practical, and grounded in the everyday challenges that procurement and IT teams face when managing complex supplier relationships.

Start Early to Stay in Control

One of Harinder’s strongest messages was the importance of starting early.
Leaving contract renewals to the last minute hands the advantage to the supplier. By planning several months ahead, procurement teams can benchmark offers, assess alternatives, and enter negotiations from a position of strength.

Starting early also supports better internal alignment — giving stakeholders time to review terms, budgets, and future requirements before decisions are made.

Visibility is Power

Another recurring theme was visibility.
Knowing when renewals are due, which contracts are indexed to inflation, and where key risks lie gives procurement professionals the ability to act — not react.

Strong contract visibility builds stakeholder confidence too, demonstrating that procurement is proactively managing supplier relationships and protecting organisational interests.

Collaboration Beats Silos

Harinder also emphasised that procurement cannot work in isolation.
The most effective contract management strategies are built through collaboration between Procurement, IT, Finance, IT Asset Management, and FinOps.

When these teams work together, they can uncover hidden risks, identify savings, and build shared plans that align with wider business goals. Contract management becomes less about administration — and more about enabling the business to operate efficiently and strategically.

Data Quality Drives Better Outcomes

Modern contract management tools often include automation and AI capabilities, but as Harinder reminded us, technology is only as effective as the data behind it.

Poor-quality data leads to poor-quality decisions.
Ensuring contract data is accurate, structured, and regularly updated remains a critical foundation for successful digital procurement.

Stay Curious and Ask Questions

Harinder encouraged attendees to challenge assumptions during contract discussions.
Just because a supplier suggests a pricing model or index doesn’t mean it should be accepted at face value.

Ask why a CPI index is used.
Question whether a per-user licence model is the right fit.
These simple questions often reveal opportunities for better terms and improved value.

Understand Supplier Motivations

A great negotiator understands not only their own objectives, but also those of their supplier.
Knowing a supplier’s internal targets — whether they’re under pressure to sell specific products or expand in a new region — can create leverage during discussions and lead to mutually beneficial outcomes.

Proactive Risk Management

Throughout the session, risk management emerged as a consistent thread.
From auto-renewals and vague clauses to performance issues and shifting product roadmaps, contracts can easily become a source of risk if left unmanaged.

The key takeaway? Stay ahead of the risks before they become issues. Regular reviews, clear ownership, and automated alerts through modern platforms make all the difference.

Procurement as a Strategic Partner

Harinder’s final message was one that resonated strongly with everyone:
Procurement should be seen as a strategic partner, not a gatekeeper.

By being flexible, collaborative, and solutions-focused, procurement builds trust across the organisation — positioning itself as an enabler of progress rather than an obstacle to it.

Procurement Isn’t What It Used to Be

Once upon a time, procurement was a back-office function focused on securing the lowest possible price and ticking compliance boxes. But the landscape has changed dramatically.

Today, procurement teams are expected to deliver strategic value, manage supplier risk, and support corporate sustainability goals. In other words, procurement has evolved from a transactional process into a business-critical strategic discipline.

Why Procurement Is Evolving

Procurement in the UK has been forced to adapt because the world around it has changed.

Global supply chain complexity has increased – suppliers are more dispersed, logistics are more fragile, and external shocks (from Brexit to geopolitical tensions) affect supply stability.

Tighter regulations like the UK Public Procurement Act 2023 demand greater transparency, fairness, and accountability.

Sustainability pressures are mounting, with organisations expected to show responsible sourcing and reduced carbon footprints.

Speed and agility now define success – organisations must make procurement decisions faster, with better data and fewer delays.

Traditional methods like manual spreadsheets, disconnected systems, and endless email chains simply can’t keep up. Businesses need tools that enable smarter, faster, and more transparent decision-making.

Technology Is Driving the Revolution

Procurement technology is reshaping how organisations buy and manage suppliers. With automation, AI, and real-time data, procurement teams can now:

Automate repetitive tasks such as purchase approvals, contract renewals, and supplier onboarding.

Analyse spending patterns instantly to identify cost-saving opportunities.

Improve compliance through built-in rules and audit trails.

Enhance supplier collaboration with digital communication channels and shared data dashboards.

This shift isn’t just about efficiency – it’s about transforming procurement into a driver of innovation and business growth.

Real-World Examples of Change

Across the UK, organisations are already reaping the rewards of smarter procurement:

Retail giants use procurement platforms to manage thousands of suppliers, track product quality, and ensure compliance across global supply chains.

Hospitals and healthcare trusts rely on digital procurement systems to monitor critical medical supplies and avoid costly shortages.

Public sector bodies leverage procurement technology to meet audit requirements, increase transparency, and demonstrate value for taxpayers.

The Big Procurement Challenges

Despite progress, procurement teams still face persistent challenges:

Fragmented supplier data

Poor visibility into spend

Compliance headaches

Limited time and resources

Sound familiar? That’s why modern procurement platforms are becoming essential tools — not just “nice to haves.”

Enter Procurement Platforms

A procurement platform brings everything together: supplier management, contract tracking, spend analysis, and more – all in one centralised hub.

No more juggling multiple spreadsheets or systems. No more losing track of contract deadlines. Everything you need is visible, organised, and actionable.

Why Technology Matters for Procurement Teams

Digital transformation in procurement isn’t just a buzzword — it’s a business necessity. Here’s why:

Transparency: See what’s happening in real time, across every category of spend.

Efficiency: Automate routine work and free up your team for strategic priorities.

Risk Management: Stay compliant and identify issues before they escalate.

Cost Savings: Make data-driven decisions that lead to measurable value.

Common Mistakes Procurement Teams Make

Even the best teams can fall into familiar traps:

Ignoring data: Without spend tracking, you can’t make informed decisions.

Overcomplicating processes: Too many steps cause unnecessary delays.

Poor supplier communication: This often leads to compliance breaches and delivery risks.

The good news? Procurement platforms like BuyingStation are designed to fix these problems fast.
