How do we implement BuyingStation?

BuyingStation was designed with your company and the user community in mind, so implementation can be done entirely by you. If you don’t have the time, inclination or resources, we can help.  All new BuyingStation customers are provided with two training sessions to get you underway. How long does it take to deploy?

As quickly as you can make a cup of tea!  We designed BuyingStation so that you can deploy it yourself if you want to.  Once you subscribe, you will be able to start implementing and customising BuyingStation to suit your organisation. If you want our help, just ask us about our implementation support services.

Who can use BuyingStation?

Anyone!  You control the access and who needs it.  Our typical customers have users across the whole organisation.  Legal teams love the access to contracts and document version control, finance love tracking savings and operations appreciate the compliance and risk mitigation.  Everyone loves BuyingStation!

Can I control users’ access?

Yes, you choose the type of access your users have, defined by their role and for each module.

How many users can I have?

As many as you want; the subscriptions include up to 50 users/licenses and, if you need more, no problem.  Most of our customers don’t need more than 50 users, but if you do, you can purchase additional licenses for £9.95 per user, per month.

What languages are available?

BuyingStation is currently available in English, Portuguese and Spanish. However, if you have a particular language requirement, let us know.

Can BuyingStation integrate with my existing applications

Yes.  We built BuyingStation with OpenAPI in mind, so we can develop the relevant API for your applications. ‘Out of the box’ APIs are coming soon . . . . . watch this space.

Can I customise my BuyingStation?

Yes. You can add new fields to any module from Projects to Tenders, Suppliers to Contracts.  In other words, you can capture the right information to suit your specific needs.  Want to add a supplier question about adhering to your Code of Conduct?  No problem – add it where it makes most sense to you. You can do it yourself without long, complex changes or asking us. . . . . .point, click, type and save. Done. No additional cost.

Where is data stored?

All data is stored and backed up in the UK.   BuyingStation is built on AWS EU West 2, data is encrypted at rest and in transit as well as backed up daily.

How do I know your services are secure?

BuyingStation is built on AWS and we follow ISO directions for security policies and accreditations. Our audit for ISO27001, ISO9001 and ISO14001 is in November 2025.  We follow both SDLC and OWASP security standards in our development process.  

Can you use Multi Factor Authentication (MFA)?

All data is accessed via username and password login, or via MFA using Google or Microsoft SSO.

Does BuyingStation use any AI?

Yes (but only if you want to). AI is currently available in our Specification Generator in the Tenders module and you have full control as to whether you use it – simply switch it on or off.  There will be more to come:  we believe AI will be a real benefit to Procurement and we have exciting plans to incorporate AI to help you not just review contracts, but also advise on the work you undertake. E.g. target savings based on market information and what others in your sector are doing.

My supplier and contract data is not great or is in lots of different places (like spreadsheets), is that ok?

Yes!  BuyingStation is designed to help you fix that problem. You may want to consider completing a Spend Analysis beforehand to clean up the data, get your taxonomy for categorisation in order and identify the projects that will demonstrate the return on investment you can deliver if your business invests in ProcureTech.

We have our own supplier onboarding questionnaire(s), can I use these in BuyingStation?

Absolutely! There is a dedicated Supplier Onboarding Questionnaire’ generator so that you can add as many relevant questionnaires (DQQ, PQQ etc) as you want.

How many suppliers can I onboard into BuyingStation?

As many as you like!  You can also access our Supplier Directory that lets you access potential future suppliers; suppliers who have already completed their minimum requirements so that you can be more confident about inviting them to engage with your company.

How do I get my suppliers and/or contracts onto BuyingStation?

There are three ways to get suppliers and contracts set up:  

  • Bulk upload using our template spreadsheet
  • Invite suppliers to set up their profile with just an email address
  • Manually add them, a single supplier at a time
How is suppliers’ information kept up to date in BuyingStation?

Suppliers have a secure login so that they can maintain their information and keep it up to date. They also get an annual reminder from us!  You can also message suppliers directly from within BuyingStation with any message(s) you want to share. E.g. bulk messaging or requests for updates etc.

Does BuyingStation give visibility of our Spend?

Yes. There is a Dashboard tracking progress of spend, compliance and risk as well as a Spend Tracker.

What happens to our data if we stop working with you?
